The Internal AI Use Policy: What Every Organisation Needs Before Day One
By the time most organisations write an AI policy, half the staff have already been pasting client data into free chatbots for months. The policy arrives as a reaction to something that went wrong, or nearly did. That order is backwards and expensive. The internal AI use policy is one of the few documents genuinely worth having before the tools arrive, and it is far shorter than the ones that get written in a panic afterwards.
The policy is already overdue
Het beleid is al te laat
Assume your people are already using AI. Not because they are reckless, but because the tools are free, useful, and one browser tab away. The choice a policy actually faces is not whether AI enters the organisation. It entered months ago. The choice is whether that use happens inside boundaries you set or outside any boundary at all.
An absent policy is not a neutral state. It is a decision to let each employee improvise their own data-handling rules under deadline pressure, which is the single most predictable route to a leak. The document you have not written is already shaping behaviour, badly.
There is a second reason to move early, and it is about trust rather than risk. When a policy arrives after an incident, it reads as blame: someone did something wrong, so now everyone gets rules. When it arrives before, it reads as permission with guidance, which is what most staff actually want. People are nervous about using AI wrongly. A clear early policy tells them how to use it right, and that is a gift, not a restriction. The framing you get for free by being early is worth as much as the leak you prevent.
Think of the early policy as the cheapest insurance an organisation can buy against its own enthusiasm. The tools are genuinely good, people will genuinely want them, and that eagerness is the risk. A short document written calmly, before the rush, is what keeps the eagerness pointed somewhere safe.
Five things it must answer, and nothing more
| The question staff have | What the policy states | Why it matters |
|---|---|---|
| Which tools may I use? | A named list of approved tools, and the rule that anything else needs a quick check first. | An open field invites the free consumer version that retains data for training. |
| What may I put in? | Clear data categories: public and anonymised yes, personal and confidential only in approved tools. | This single line prevents most real incidents. |
| Where must a human decide? | The tasks where AI may assist but not decide alone. | Protects against silent automation of decisions that carry real consequences. |
| Who owns the output? | A reminder to check and correct AI output before it leaves the building. | AI errors become the organisation's errors the moment they are sent. |
| Who do I ask? | One named person or channel for questions. | Uncertainty without a route to answers becomes guesswork. |
PwC's 2023 AI Governance Survey found 71 percent of organisations have a published AI policy while only 34 percent of employees can describe what it says about their role. The policies exist. They just do not fit in anyone's head.
Five answers. One page. That is the whole target. A policy longer than a page is a policy that will be published, filed, and forgotten, which leaves you exactly where you started: with people improvising. The discipline is not in writing more. It is in refusing to.
Vijf antwoorden.
One more thing about length. The instinct in most organisations is to cover every edge case, because a missed case feels like a liability. But an AI policy is not a contract; it is a memory aid. Every clause you add to cover a rare situation costs you recall on the common ones. The rare cases are better handled by the one named person the policy points to, the human who can think about a situation the document never imagined. Keep the page short and keep the person reachable. Together they cover more than fifteen pages ever will.
